Naming Guide & Expense Sheet

Introduction
As a Texas Family Child Care Network (Texas FCCN) Mini-Grant recipient, you will be required to report how your funds were spent and provide documentation of your expenses. You will submit a Final Report after spending your complete award to remain in good standing.

As you complete the Final Report, you will be required to upload receipts of your allowed purchases. To organize your documents, follow the instructions below.
How to Name Receipt Files
Naming Convention: The naming of your receipt files should follow this format: [Value][Category][Item]
Value: The total amount paid for the goods or services.
Category: The type of allowable cost. You can find the category of expenses allowed in the Start-Up Mini-Grant Monitoring Guide.
Item: The name of the specific item.
Example: If you paid $100 for a crib, which falls under Indoor Furnishings, the receipt should be named:
[$100][Indoor Furnishings][Crib]
What Receipts Must Show
Every receipt you upload must contain the following information:
Amount Paid: The total amount you paid for the goods or services.
Date of Payment: The date on which the payment was made.
What Was Purchased: A description or itemization of the goods or services purchased.
Proof of Payment: This could be a receipt or invoice that is marked “paid” or some other form of verification that the payment was completed.

For a general overview of your expenses, track all of your allowed items in the Start-Up Mini-Grant Monitoring Expense Spreadsheet. Please download a copy of the spreadsheet above, and once completed, submit in your Final Report.
Each allowed expense category has its own section in the spreadsheet. Enter all of your expenses and their respective amounts. An example of a completed Monitoring Expense Sheet can be found below:
Conclusion
Reporting and monitoring can seem intimidating, but there are two important points to remember. First, the monitoring team does not want to take your money back! They are here to review your spending and make sure your expenses are accurately recorded. Second, there are resources available to support you in the reporting and monitoring process. By using the guidance in this resource, you're setting yourself up for success and staying in compliance with the requirements.
